Disability Services

Gentles with disabilities are welcome to participate in Pennsic War 37. As we strive to make Pennsic a good experience for everyone, reasonable attempts will be made to fill requests for basic accommodations and services.

Disability Services provides assistance to those gentles with disabilities by arranging for accommodations and services. At Pennsic, we are located in Town Hall -- the tent across from the Cooper's camp store. Daily Office Hours are 8:00 am to 6:00 pm. Services include:

  • camping space
  • handicapped parking
  • electrical recharge for scooters and medical devices
  • transportation by golf cart (through Specialized Transport)
  • requests for accessible porta-castle (porta-john) placement
  • assistance with service animals
  • and coordination of requests for sign language interpreters.

Pennsic is a primitive camping event, and access to modern facilities is limited, so advance planning is particularly important. For example, power outages can occur at Pennsic, so a constant supply of electricity cannot be guaranteed, which may most affect individuals relying on direct-current C-PAP machines.

On-line registration for Disability Services closes July 13th. Please use the forms to register your camping/services requests. After you are on site, you can bring Disability Services requests to us in Town Hall. Please stop by and introduce yourself -- we look forward to seeing you there.

Yours in service,

Lord Martyn de Haliwell - e-mail

Registering for the Disabilities Camping Area

Gentles wishing to camp in the Disabilities Camping Area must pre-register with both this office and Cooper's Lake Campground.
Cooper's Lake on-line pre-registration ends June 15th.
The deadline for Disabilities Camping pre-registration is July 13, 2008.

To register on-line, fill out the Disabilities Camping form
or, contact Disability Services to request a form in the mail.

Once you have received confirmation from Disability Services of your request to camp, you may list "DISABILITIES CAMPING" on your Cooper's pre-registration form as the group with whom you are camping. Please note: unless you have completed both pre-registrations and received confirmations, you are not guaranteed space in this area.

Camping in the Disabilities Camping Area is limited to individuals with a disability and those persons camping in the same tent. RV's are not permitted in the Disabilities Camping Area. Electrical outlets are nearby for recharging of medical devices and scooters. (See the Electric Recharging section for more specific information.)

Other Services

Sign Language Interpeters

In past years, most individuals requesting interpreters have made their own arrangements. Last year, interpreters contacted Disability Services informing them that they were interpreting specific Courts and classes. To our knowledge, no additional requests for interpreters were made by hearing impaired/deaf gentles. If this arrangement is working fine, we have no wish to change it. However, we would like to hear from the individuals involved to determine if the services provided were sufficient.

We encourage interpreters who wish to volunteer their services to contact Disability Services with their availability (e-mail before July 13th, or see us on-site). On-site contact information should include: Name, Block Number, Nearest Intersection, and Group Name.

Gentles who are Deaf or Hearing Impaired and wish to request interpreting services are also invited to contact Disability Services, providing the above information. If possible, requests and arrangement for services will be matched prior to Pennsic.

Transportation

There will be no official Mobility Assistance Service (MAS) with its own separate dispatch at Pennsic 37, but one "Specialized Transport" cart will be available for individuals whose disabilities affect their mobility.

Individuals who have occasional transportation needs which cannot be met by the scheduled bus service can book a Specialized Transport either at Disability Point or with the Dispatch at Public Safety.

For those who have used the MAS service for A&S classes in the past, please note that there is a stop served by two bus routes at Chandler's Way and Dragon Trace, one block from the A&S tents.

Specialized Transport will close between 11:00 pm and 7:00 am. Since only one cart will be operating, booking is essential. Even with booking, pickup time cannot be guaranteed. Advance planning on your part will greatly assist the Pennsic staff in making reasonable attempts to provide you with courtesy accommodations and services.

Please fill out the Disability Services Request form
to request any of the services listed below.
On-line forms are due by July 13th.

Handicapped Porta-john Placement

Handicapped-accessible facilities are located in various locations around Pennsic. At Pennsic, Disability Services can tell you the location of the nearest handicapped-accessible porta-john to your campsite, class, battle, merchant, performing arts activity or party.

If you would like to request a location for a handicapped-accessible porta-john, please contact Disability Services PRIOR to the start of war. Requests must be made every year, as all handicapped-accessible port-johns are assigned new locations based on requests. Please do not assume that since one was in one place last year, that it will be there again this year.

Electric Recharging / Scooters

A recharging area for scooters and medically necessary devices is available. Pre-registering your medical device or scooter will help us with advance planning. In order to ensure that sufficient charge time is available for all who need it, after arrival on site, an individual must obtain an official recharging tag from Disability Services and schedule a time and specific outlet for use.

Handicapped Parking

Handicapped parking is available in designated areas. In order to ensure that sufficient space is allocated, we ask all individuals using handicapped parking to please check in with Disability Services.
