Tent Rental Deliveries
In order for a tent rental company to put up a tent for you, the delivery must be registered
with the
Off-Site Vendor Coordinator (OVC).
Once Land Grab is complete on Saturday, July 31, off-site vendors may begin setting up individual sleeping tents,
but only if the delivery has been pre-registered with the Off-Site Vendor Coordinator. Tents can be set up
between the hours of 9 am - 6 pm.
Procedure for Registering a Tent Delivery
(Revised for 2010!)
Individuals

When you are arranging your rental, let your vendor(s) know:
- All deliveries must be made between the hours of 9 am and 6 pm.

No deliveries will be accepted on Saturday, August 7 or Sunday, August 8.

No deliveries will be accepted after 1 pm on Friday, August 13.
- Any and all rental goods must be picked up between August 16 (Monday)
and August 18 (Wednesday) or they will be considered abandoned and forfeit.

Your Land Agent will need to register your tent delivery with the OVC either electronically prior to Pennsic or
in person during the Land Grab process.
Please provide your Land Agent with the following tent rental information before they leave for Pennsic Land Grab.
(You may also print off and fill in a Tent Delivery Info form for the Agent):
- Modern and SCA names of the renter
- Renter’s arrival date
- Cell phone number
- On-site contact person (with cell phone if different from above)
- Group camping with, including block number
- Name of the Rental Company & their contact info
- Tent description and size
- Rental contract ID or reference number
- Date and time that the delivery is expected
Incomplete information or failure to pre-register the delivery will delay the arrival of your tent.
Land Agents
- All deliveries of rental tents must be registered at least 24 hours in advance with the OVC.
- Tent Delivery Info forms are available online, in the barn during Land Grab, and at Information Point once Land Grab is completed.
- Completed Tent Delivery forms must be submitted directly to the OVC.
- The OVC will be available in the barn during Land Grab, and can be contacted via Information Point during the rest of Pennsic.
- Completed forms may also be submitted to the OVC electronically before Tuesday, July 27.
- You will need your final land block assignment, so please do not submit the forms before you know for sure what block your camp has been assigned.
NOTE: Deliveries of rental tents to land blocks
with gas lines or other features requiring special placement of tents will require
a monitoring escort to supervise tent placement, and
must be scheduled well in advance of the desired delivery date to ensure availability of an OVC escort.
Delivery Procedures
On the day of the rental tent delivery:
- You must ensure someone will be in camp to accept the delivery and discuss tent placement.
- The OVC will not accept deliveries on your behalf.
- Tents will not be set up in the absence of you or your named representative.
- Vendors will not be permitted to wait in your encampment if you or your named representative are not there when they arrive, and you will have to re-schedule your rental tent delivery for a later date.
If the vendor does not have a company logo on the vehicle and logo uniforms:
- a monitoring OVC escort will be required.
- the vendor will sign in at Troll and the OVC will be contacted.
- the OVC will escort the vendor to your encampment.
- the escort will remain with the vendor for the entire tent setup process.
If the vendor has a company logo on the vehicle and logo uniforms, and there are gas lines, etc. in your land block:
- an OVC escort will be required.
- the vendor will sign in at Troll and the OVC will be contacted.
- the OVC will escort the vendor to your encampment and establish the location of gas lines, etc. for the vendor.
- the vendor will then be left to complete the setup on their own.
- vendors must sign out with the OVC before they leave site.
If the vendor has a company logo on the vehicle and logo uniforms, and there are no gas lines, etc. in your land block:
- no setup supervision will be needed.
- the vendor will sign in at Troll and be given an escort to your encampment.
- the OVC will be notified of their presence on-site, but will not supervise the tent setup.
- vendors must sign out with the OVC before they leave site.
