Volunteers Wanted

Did you know that if every person who attended Pennsic did just one two-hour shift at a Pennsic Service Point there wouldn't be enough work to go around?

Many different departments have volunteer opportunities available! To volunteer prior to War, check the list below and contact the person in charge of the department you are interested in.

Pennsic is everyone's "vacation". Come lend a hand, meet new friends, and learn what goes on behind the scenes. If we all help out, we'll all also be able to take time to have fun!

Teens - we can use your help too! Please look for the positions that are "Teen-friendly."

The Watch

Children's Fete

This year will mark the 13th Annual Known World Children’s Fete on Wednesday, August 11, 2010, from 1pm to 4pm. Last year we were graced with 440 children.

We are always in need of volunteers and activity sponsors. This is a wonderful opportunity for Baronies, Households, Guilds, Groups, and individual members of the populace to share in a wondrous occasion of fun and laughter.

Volunteers are needed to: Set-up; Break down; Run sign-in for the children; Sponsor an activity and provide supplies (e.g. arts and crafts, games, dancing, face painting, foam sword play); Run activities; Provide supplies or prizes; Entertain (jugglers, puppeteers, other performers); Make sure volunteers are getting water and breaks.

Those who volunteer do not have to be present for the entire Fete.

Disability Services

Disability Point
Description: Volunteers would assist the Disability Staff in collecting the Disability Services request forms, provide information on things such as Disability Transport, and hand out information pamphlets to registered gentles. You sit right across from the Coopers' Store, and get to see a lot, plus … Free Shade!!
Requirements: A desire to aid your fellow SCAdian, while enjoying some shade and people watching!
Shifts: Preferably 2-hour shifts, but we'll work with you, from 9 am to 5 pm (last shift begins at 3pm). Stop by at any time and see what's free, even if it's just an hour of your time.
 
Contact: Lady Bast before Pennsic, or visit Disability Services in Town Hall/Info Point to volunteer.

Games Tent

Helpers
Description: Watch over the games and supplies. Help the game tent staff and teachers, if needed.
Requirements: A knowledge and enjoyment of period games is a bonus, but not required.
Teen Friendly? Yes.
# Volunteers Needed: 1 per shift
Shifts: 2 hour shifts starting at 10 am, noon, 2pm, 4pm; Saturday 8/7 - Friday 8/13
 
Gamers
Description: Teach games and answer game related questions. Watch over the games and supplies. Help the teachers, if needed.
Requirements: Familiarity with a variety of period games, and the willingness to learn the ones you don't know.
Teen Friendly? Yes, for the right teens.
# Volunteers Needed: 1 per shift
Shifts: 4 hour shifts, starting at 10 am and 2 pm; Saturday 8/7 - Friday 8/13

Heralds' Point

Heralds' Point is open from August 4 through 13. (Please see the schedule.) Volunteers are needed to fill a wide variety of positions during consulting hours, and even after the tent closes to customers:

Consulting Heralds
Description: Consult with customers to help them find names and/or armory that suit them and are registerable in the SCA. We welcome general consulting heralds and specialists, along with inexperienced heralds seeking to shadow consulters and learn the skills necessary to better help customers.
Special Conditions: A basic knowledge of SCA submissions rules and practices is needed to consult.
Teen Friendly? Yes, if you have previous experience, or want to watch and learn
Shift Length: 1 hour to 3 hours
# Needed: As many as possible.
 
Artists
Description: Artists trace, sketch or draw (depending on their personal artistic ability) the armory submissions taken at the Point. Materials are provided, including an extensive Traceable Art collection.
Special Conditions: None
Teen Friendly? Yes
Shift Length: People are welcome to give as much time as they have available – from 15 minutes to do a single submission to 10 hours to spend the day in good company in a cool tent.
# Volunteers Needed: As many as are willing from about 2 hours after Point opens well into the evening, about 4 hours after closing on busy days.
 
Colorers
Description: Submissions, once drawn and copied, require several sets of colored forms. Colorers use Crayola markers to color these submissions.
Special Conditions: Ability to stay within the lines.
Teen Friendly? Very
Shift Length: As much as people are willing to give. Coloring goes on for most of the day and well into most nights – as late as 1 am on a regular basis.
# Volunteers Needed: As many as are willing.
 
Exchequers
Description: Exchequers are needed to check-out customers who come to pay for their submissions. A laptop with a specific program is provided to record all transactions and a lock box to take all payment.
Teen Friendly? No
Shift Length: 1 hour to 3 hours
# Volunteers Needed: One exchequer at a time during the Point's open hours
Requirements: Must be a Warranted Exchequer or Herald within the Society
 
Greeters
Description: Cheerful and welcoming people act as receptionists for the Point. The greeters determine the needs of people coming in for help, direct questions to the appropriate heralds, maintain provided sign-in sheets and call the line forward as spaces open for consultation. They may also be asked to run errands and shelve books.
Special Conditions: Cheerful and reasonably efficient
Teen Friendly? Potentially
Shift Length: 1 hour to 3 hours

Pennsic University - A & S Point

A&S Point Shift Supervisor
Description: Supervising table staff, answering more complex questions, helping with overflow crowds, making on-site decisions as needed. Requires a good understanding of the goals and structures of Pennsic University.
Requirements: Should have worked the front desk at least once previously.
When: Wednesday, Aug. 4 through Friday, Aug. 13.
Shifts: 4 hour shifts, 9 am - 1:30 pm and 1:15 - 5:30 pm. Please show up 10 minutes before shift start time to be briefed on current information.
 
A&S Point Front Desk Staff
Description: Staffing the A&S information table, providing information to attendees and instructors, posting notices, other ad hoc tasks as needed. Requires a general understanding of the goals and structures of Pennsic University or a willingness to learn.
When: Wednesday, Aug. 4 through Friday, Aug. 13.
Shifts: 9 - 11:30 am, 11:30 - 1:30, 1:30 - 3:30, 3:30 - 5:30pm.
 
Contact: Helena Sibylla, A&S Point Coordinator before Pennsic, or stop by A&S Point. The Point will also be open from 1-4pm on Sunday, Monday & Tuesday, Aug. 1-3 for volunteer sign-up.

Performing Arts Pavillion

Paint crew
Description: painting the new stage black
Requirements: ability to use paint brush and paint roller
Teen Friendly: Yes!
# Volunteers needed: 4
When: 9am on Wednesday of 1st week
 
Stage Set-up
Description: assembling the stage
Requirements: ability to move 50 lbs and use an electric drill (Strong Back/Weak Mind)
Teen Friendly: Yes!
# Volunteers needed: 6
When: 3 pm on Wednesday of 1st week, 9 am on Thursday of 1st week
 
Tear Down
Description: Disassemble Stage and Pack out
Requirements: ability to move 50 lbs and use an electric drill (Strong Back/Weak Mind)

# Volunteers needed: 8
When: 9 am on final Saturday of War.

Troll (Check-in)

Greeters
Description: direct people into the appropriate lines and remind them to have their IDs, membership cards and vehicle information ready.
Teen Friendly? Yes.
 
Behind the counter
Description: Assisting people with waiver forms, checking IDs and membership status, writing up receipts and car tags, putting together booklets, and cutting string for tokens. Groups/Households/Orders are welcome to fill entire shifts. Troll has light 24 hours a day.
Requirements: Must be at least 18 years old to help behind counter.
 
For both positions:
# Volunteers Needed: minimum 2 per shift, 10 stations available. We really need the most help for Land Grab and War weekends.
Shifts: two hour shifts starting noon, Friday July 30th, ending midnight, Friday August 13th.

The Watch

Shift Commanders
Description: Oversee activities of the cart patrols and interact with the populace at Pennsic.
Requirements: Must have good people skills and a willingness understand a situation and help find a solution.
Shifts: Daily shifts are 6 1/2 hours each (the actual schedule has not been determined yet). The goal is for the Shift commanders to work one shift every other day. Individuals are needed to commit for multiple shifts. This is a key position in the Pennsic Watch intuitive and continuity is key in the overall success.
Teen Friendly? No person under the age of 18 years may volunteer for Watch duties.
# Volunteers Needed: 6-10
