Pennsic Troll (Check-in)

Greetings from the Head Troll, Master Vorlin o'r Gwig.

Please read through the following information as it will make your Pennsic check-in as smooth as possible. If you have any questions, please contact me.

Pennsic Pre-registration

New this year: We will be using eTablets at Troll for a paperless – and quicker – check-in for those who Pre-register on-line.

Registration deadlines are:

May 15 by mail
June 15 for pre-paid 1 or 2 week registrations
July 15 for unpaid registrations (note - no land is allotted to camping groups for unpaid regs)

Please print out and bring a copy of your completed preregistration confirmation page with the reference number, just in case.

Pre-registrations cannot be transferred to another person. If you are unable to attend Pennsic and are already pre-registered, you need to request a refund from Cooper's Lake Campground before June 1 (partial refunds between June 1 and July 1).

Check-in times

Fri. July 27 - Troll opens at noon.

After checking in, only Land Agents may enter the campground, to take part in Land Grab. All others must return to the parking area.
In order to camp on the battlefield Friday night, you must first check in at Troll.

Sat. July 28 - People camping with registered groups enter the campground once Land Grab is concluded (around noon).
Singles camping is not available until Sunday.

Sun. July 29 - Single campers may start checking in.
(These are individuals or families who are not camping with a registered group. Single campers who arrive together may camp together.)

Check in closes at 11:59 PM on Friday, August 10

If you get a ride to the campground from someone who will NOT be attending Pennsic, they cannot enter the campground until we have someone available to escort them. Escorts are not available before noon on Sunday, July 29, so please plan accordingly.

What you need to Check In

To check in, you will need 3 things: the Entry fee, Government-issued identification, and proof of membership (if applicable).

Have your IDs and membership cards accessible when you arrive; we cannot let anyone enter the campground who has not successfully checked in.

1. Entry Fees

Bring enough cash or a credit/debit card to pay the balance of your fees. No checks, Travelers Checks or Money Orders are accepted.

The list of entry fees can be found at the Cooper's Lake Campground website.

2. Government-issued ID

All adults (ages 18 and older) and emancipated minors will need a government issued ID. This can be national (U.S. or other nationality if appropriate), state or local. The ID must include photo, name and date of birth. Emancipated minors must show legal proof of emancipation, in addition to an ID.

Some examples of acceptable ID are: passports, drivers' licenses, state ID cards and military issued ID cards. This is not a comprehensive list, just a few examples. If you have further questions, please contact Troll.

3. Proof of membership

To obtain the $25 discount, please bring proof of membership for each member checking in. Valid items are:

Fighter authorization cards are NOT acceptable forms of proof of membership.

Membership discount refunds cannot be given if proof of membership is found after check-in.

Checking in Children

All minor children (under 18) must be checked in by their legally responsible parent or COURT APPOINTED legal guardian.

Special Note About Guardianship Papers for a minor who is not your own child. You will need proof of YOUR full legal guardianship for that minor. This proof must be in the form of a copy of legal guardianship papers signed by the judge who appointed the guardianship. Letters signed by notaries will not be accepted. You will be required to sign a waiver in the child's name before admittance. Remember that lying on these waivers constitutes fraud and will result in you and your family's expulsion from the campground.

General Troll Information

Nine Important Steps if You Lose Your Medallion

  1. Find your gate receipt and photo ID and keep them with you at all times.
     
  2. Search your tent / pavilion.
     
  3. Search the last place that you remember having your medallion.
     
  4. Search your tent / pavilion.
     
  5. Check your clothes from the evening before.
     
  6. Check the shower and other places where you might have taken the medallion off.
     
  7. Search your tent / pavilion.
     
  8. Bring your receipt and photo ID to Troll and see if we have the medallion.
    Parents, with their own photo ID, will need to come with the child for a lost child's medallion.
     
  9. If we do not have your medallion, we will process your paperwork, and you will receive a special replacement item that you will affix to your body and will NOT be worn on your necklace or belt.
